Weekday Room Rental Rates (Rates effective through June 30, 2026):

• BEST Conference Center is $565 for the first four hours plus a $150 cleaning fee. Any additional hours are $165 per hour.
• The Regnier Auditorium is $465 for the first four hours plus a $125 cleaning fee. Any additional hours are $165 per hour.
• Our classrooms range from $155-$310 for the first four hours plus a cleaning fee Any additional hours are $65 per hour.

Weekend Room Rental Rates (Rates effective through June 30, 2026):

• BEST Conference Center is $715 for the first four hours plus a $150 cleaning fee. Any additional hours are $165 per hour.
• The Regnier Auditorium is $615 for the first four hours plus a $125 cleaning fee. Any additional hours are $165 per hour.
• Our classrooms range from $155-$460 for the first four hours plus a cleaning fee Any additional hours are $65 per hour.

• Internal/One KU Discount - 50% off room rental fees
• Non-profit Discount - 25% off room rental fees
• Government Discount - 25% off room rental fees
• Multiple Date Discount - 25% off room rental fees if booking four or more dates (does not have to be consecutive)

Event spaces will be reserved once a signed contract has been completed. No deposits are required. After your event, an invoice will be sent via email from fsku_darbi@ku.edu. You can pay online with Visa, MasterCard, American Express, or an e-check. 

A cancellation notice must be received at least one week prior to your event or a 30% cancellation fee will be due. If notice is received within 24 hours of access time, 100% payment is required.

You have the flexibility to select your preferred caterer for your event. A list of some local caterers that we often have on campus is included for your convenience. 

We have a catering kitchen with a back dock available to groups utilizing the BEST Conference Center for easy catering drop-off. The BEST kitchen can be reserved for an additional fee.   

We offer an optional beverage service for a small fee:

Clients are welcome to bring their own beverages or have them catered. For more information see the Facility Rules and Regulations.

All soda provided must be Pepsi products. The University of Kansas has an exclusive contract with Pepsi and they provide scholarships for students. 

Room rental guests can provide alcohol to an event with prior approval. An application for approval must be submitted at least three weeks prior to the event. No sale of alcoholic beverages to individuals is permitted. Alcohol must be provided and served by the pre-approved caterer (Embrace the Grape). Non-alcoholic beverages and food must be provided at all events where alcoholic beverages are served. No minors can be present at the event.

We offer an optional linen service (black and blue only).

• 6ft and 8ft linens, $16 per linen
• Round linens, $27 per linen

Clients are welcome to rent linens from another vendor. Client will be responsible for scheduling linen drop-off and pick-up in coordination with Event Coordinator assisting your event.

Parking is free for visitors and requires no permits. We have over 1200 parking spaces available. See the campus map above to view the parking lots noted in light grey.   

There is accessible parking available in the parking lot on the east side of the Regents Center, the west end of the south parking lot by Regnier Hall and on the north side of the BEST Building.

Regnier Hall parking is available in ‘Lot A’, off of 127th Street by the red banners. There is a bronzed Jayhawk that sits at the main entrance of Regnier Hall.

Event hours are subject to change during semester breaks and holidays.

Requests for events outside of these hours will be considered on a case by case basis.

Our campus may close due to inclement weather. If this happens, all events will be canceled, and no fees will be charged. Our Events team will call the onsite contact number you provided as soon as possible. The campus will share its status with local news media and our website.

To be notified of severe weather or other campus emergencies during your event, text "EdwardsEvent" to 226787. You will then be registered to receive KU Alert notifications for the next 24 hours.
